Title: Folder Structure to Better Organize Workflows

  1. What is your original issue/pain point you want to solve?
    When working with a larger number of workflows (e.g. 50+), it becomes increasingly difficult to keep an overview. The workflows list becomes long and cluttered, making it hard to quickly locate specific workflows.

  2. Which are one or two concrete situations where this problem hurts the most?
    This affects users who manage multiple structured process areas, for example:

  • HR processes (onboarding, offboarding, employee changes)
  • Change, Incident, and Problem Management
  • Service request automation and operational workflows

In these cases, workflows often follow thematic areas, and a flat list becomes inefficient.

  1. Why is it not solvable with the Zammad standard?
    Currently, workflows can only be sorted alphabetically by title. Many admins use naming conventions (e.g. prefixes like CM_), which is only a workaround and does not scale well.

  2. What is your expectation/what do you want to achieve?
    An option to assign workflows to folders or categories to improve structure and usability.

Add a field “Folder” in the workflow configuration, e.g.:

And display the workflows grouped by folders in the overview (expandable/collapsible folders).

This feature would purely enhance organization and visibility. The existing workflow priority logic can stay exactly as it is — this suggestion is simply about making workflows easier to navigate and group, especially as the number of workflows grows. It would help admins structure their processes more clearly right from the start.

The same concept could also be very useful for triggers.

Just a small idea from my side to help improve usability and make working with larger environments even smoother. :blush:
