Deactivating "Keeping E-Mails in Server"-Option in Production

Hi there,
I have a kind of conceptional question. When an E-Mail account is connected to Zammad, and there is the feature activated that says “Keep E-Mails on Server”..
I recently noticed that this was active on our installation, and thought, well might as well change that. Now I’m not sure how to move forward, as it found 16k messages and asks what should happen with them. Bit of a surprise, I thought they would already be in Zammad, no? And now I’m confused. Because, I don’t want to cause dublicated in our system, and not sure how this change would effect our running operations. It gives the option to put all messages older than 14 days to archive, but even that is kind of not really what I want to do. I just want to keep operating as we have, but don’t have the support inbox grow large.

Does this mean that if I delete a message from the email inbox, it will disappear from Zammad?

Perhaps somebody here has knowledge on how this works, and can help me… I don’t want to just try it and cause chaos, lol. I remember running an instance with this feature off, and it just was an empty inbox when I connected to the mail with thunderbird.

As you want the mails to be gone anyway, remove all mails from said mailbox, that are marked as read already. This way Zammad will not fetch duplicate mails.

Be aware, that with 16k mails, your mail server might take a moment to actually drop the mails. (IMAP marks them as “deleted” first.

The messages in your mailbox have zero connection with the tickets after they were fetched. Thus removing them won’t remove any tickets unless you tell Zammad to remove tickets via e.g. a data privacy task.
